How to build a shoot budget

Start from the brief and the mood board: they decide how many looks, models and days you need. Then price each line as quantity × days × rate, so changes to the schedule flow through the whole budget.

The lines people forget: usage for talent, fittings, travel days, overtime, insurance, and retouching per final image.

Pricing the talent lines

Talent costs have two parts: the session fee for time on set and the usage fee for the rights. Work them out with the day rate calculator and the usage & buyout calculator, then add the agency fee your booking confirmation states.

Check the dates

Shooting on a public holiday can mean closed studios and surcharges. The production calendar lists holidays in 39 markets.

Talent (session fees and usage), crew, studio or location, equipment, production costs such as catering, transport, wardrobe and insurance, and post-production such as retouching.

How much contingency should a shoot budget have?

Producers commonly keep a contingency line for overruns. The right percentage depends on how fixed the plan is; set it in the tool and adjust it to your own practice.

Should usage be in the production budget?

Yes. Talent usage is often one of the largest lines and is easy to forget when only day rates are budgeted. Price it with the usage and buyout calculator.
