What goes on a call sheet
A good call sheet answers four questions for every person on set: where do I go, when do I arrive, who do I report to and what happens today. Everything else is detail that saves phone calls.
- Production and client, so everyone knows which job it is.
- Date, general call and estimated wrap. The wrap time matters for overtime and for models booked on the next job.
- Location, address, parking and access, including the floor, entrance and who opens the door.
- Schedule by time: crew call, talent call, hair and make-up, each look, lunch, wrap.
- Crew list with roles, phone numbers and individual call times.
- Talent list with the agency and agency phone number.
- Safety: nearest hospital, first-aider, weather plan for outdoor shoots.
Call times for talent
Talent is usually called after the crew, timed to the start of hair and make-up rather than to the first shot. Give each model an individual call if looks are staggered: there is no reason to have a model waiting three hours for the last look, and on many contracts the waiting time is billable.
Tip for bookers: check the call and wrap times on the call sheet against the booking confirmation. If the call sheet shows a longer day than was booked, raise overtime before the shoot, not after.
Privacy on the call sheet
A call sheet travels widely: assistants, freelancers, sometimes the client's whole team. Keep models' personal phone numbers and home addresses off it and route talent contact through the agency.

What is a call sheet?
A one or two page document sent to everyone working on a shoot the day before. It says where to be, at what time, who else is there, what happens when and who to call if something goes wrong.
When should a call sheet be sent?
Usually the afternoon or evening before the shoot day, once the schedule is final. If anything changes overnight, send an updated version and mark it clearly as the new one.
Who sends the call sheet for models?
The production (producer or photographer's team) writes the call sheet. The model's agency usually receives it and forwards the details to the model, together with the booking confirmation.
Should model phone numbers be on the call sheet?
Usually not. List the agency and the agency's phone number for talent; it protects the model's privacy and keeps changes going through the booker.
